What is Headway?
Headway is a third-party billing company we use to manage insurance claims, eligibility checks, and payments. They securely handle the financial side so we can focus on your care. You may receive communication from Headway about scheduling, billing, or copays. It’s important to know that Headway is a third-party company—we don’t set insurance reimbursement rates, and we don’t control how much your plan covers. Headway also takes a portion of the insurance payout as its fee, which is standard for providers who use a billing service. It is imperative to understand your insurance and benefits as a well-informed patient. We will always be able to assist with insurance-related issues. 
 
How do I know if my insurance covers mental health visits?
The best way to check is to call the customer service number on your insurance card. 
Tip: Write down the representative’s name and a reference number for your call.
 
Ask the Following:

  • Does my plan cover outpatient mental health services?
  • What is my copay or coinsurance per visit?
  • Do I have a deductible, and how much of it is left?
  • Are there limits on the number of visits per month or year?
  • Are telehealth services covered?

​What if my insurance changes?
Please update us as soon as possible if your insurance changes so billing remains accurate and uninterrupted. You will need to add this into your Headway Portal.

 
How are PMHNPs different from psychiatrists or psychologists?
  • Psychiatrists are medical doctors (MD/DO) who complete medical school and residency in psychiatry. They can prescribe medication and often focus on complex medical/psychiatric cases.
  • Psychologists complete a PhD or PsyD in psychology. They specialize in psychological testing and therapy but do not prescribe medication in most states.
  • PMHNPs are nurse practitioners with advanced psychiatric training. Like psychiatrists, they can diagnose and prescribe medications, but their training emphasizes a holistic, patient-centered approach that blends medical and nursing perspectives.
     
How do I know if a PMHNP is right for me?
If you are seeking care that combines medication management, therapy, and a whole-person approach, a PMHNP may be an excellent fit. Patients often appreciate that PMHNPs take time to understand medical history, mental health, lifestyle, and personal goals in treatment. For complex cases that require hospital-based care or specialized procedures, a psychiatrist may be recommended. For patients wanting in-depth talk therapy alone, a psychologist or counselor may be the better fit.

What is your cancellation policy?
We require at least 24 hours’ notice for cancellations or reschedules. Late cancellations or missed appointments may be charged a fee. What if I miss an appointment due to illness, hospitalization, or jury duty? Life happens, and emergencies come up. Please let us know as soon as possible if you cannot attend. Our 24-hour cancellation policy still applies in most situations.
 
What if I feel unsafe or believe I need hospitalization?
MentalGrace Psychiatric & Wellness is not an emergency or inpatient service. If you ever feel unsafe or believe you need hospitalization, please call 911, go to your nearest emergency room, or call/text 988 for the Suicide & Crisis Lifeline. After stabilization, we encourage you to notify us so we can coordinate ongoing outpatient care.
 
Do you collaborate with my other providers?
Yes. With your written consent, we can communicate with your therapist, primary care provider, or other specialists to ensure coordinated care. A release of information form can be sent to you to provide to your other physician's officea. Alternatively, you can access a copy of this request under our "Forms" tab located in our menu. 
 
Do you prescribe Spravato™ or ketamine? 
No. We do not prescribe Spravato™ (esketamine) or ketamine in a telehealth setting. These treatments require in-person monitoring and safety protocols.

 
Can you see two patients in the same family or relationship?
In some situations, yes. However, we carefully assess for potential conflicts of interest or confidentiality concerns. If seeing two family members or partners could compromise care, we may refer one to another trusted provider.
 
Can you order labs, and how does that work?
Yes. When labs are clinically indicated, we can provide you with a paper order or fax it directly to Quest Diagnostics or LabCorp. You then bring the order to the lab. Please confirm with your insurance whether lab services are covered before testing, as you are responsible for any costs your insurance does not cover.
 
What classes of medications do psychiatric nurse practitioners (PMHNPs) prescribe?
PMHNPs are licensed to prescribe a wide range of psychiatric medications, including:
Antidepressants (SSRIs, SNRIs, tricyclics, MAOIs, etc.).
Mood stabilizers (e.g., lithium, lamotrigine, valproate).
Antipsychotics (typical and atypical).
Stimulants and non-stimulants for ADHD.

Anti-anxiety medications (buspirone, certain benzodiazepines in severe situations, etc.)
Sleep medications when appropriate.

 
Do you provide therapy as well as medication management?
Yes. Many appointments integrate both therapy and medication management. We value an approach that supports emotional, behavioral, and biological health together.
 
Do you provide letters (for work, school, accommodations, or ESA)?
Yes, when clinically appropriate after a thorough evaluation. Additional fees may apply for these specialty services.
 
How do I schedule or reschedule an appointment?
Appointments can be scheduled directly through our Headway portal or by contacting us directly. Please remember our 24-hour cancellation policy.
 
Do you accept self-pay patients?
Yes. If you prefer not to use insurance, we offer self-pay options. Please reach out to discuss our current rates and whether a sliding scale may apply.
 
Do you see patients outside of Colorado?
Currently, we are licensed in Colorado, New Hampshire, and Massachusetts (We are actively processing New York and New Jersey licensure). If you live outside Colorado, please contact us to discuss whether services are available on a private-pay basis.
 
What ages do you see?
We provide care across the lifespan—children, adolescents, adults, and older adults.
